Part 01 - Getting started and common controls

1.1 Sign in and select an entity

Before you start: You need a user account with access to the relevant entity.

  1. Open the DynamicFAR website - https://dynamicfar.com/

  2. Enter your email address and password, then select Login.

  3. If prompted to select an entity, open the entity selector, choose the organisation you want to work on, and select Continue.

  4. Check the entity name and Financial Year displayed at the top of the application before entering or exporting information.

If Login remains disabled, complete both fields and check the email format. If access is denied or your entity is missing, ask your Ducharme consultant to check your account and entity assignment.

1.2 Recover a forgotten password

  1. On the login screen, select Forgot your password?

  2. Enter your registered email address and submit the request.

  3. Open the password reset email and follow its link.

  4. Enter and confirm the new password, submit it, and sign in again.

The confirmation screen does not confirm that an account exists or that an email was sent. Check junk mail and contact your Ducharme consultant if the message does not arrive. An unconfirmed account may require administrator assistance. Administrators can also use Settings > Manage Users > Reset Password; see article 10.5.

1.3 Switch entity and log out

  1. Save your work before switching.

  2. Open the account icon at the upper right.

  3. Select Switch Entity, choose the entity and select Continue.

  4. Recheck the entity name and financial year.

Switch Entity is shown when your session has access to more than one entity. To end your session, select Log out from the account menu or sidebar. Closing a browser tab is not the same action as logging out.

Expand or collapse the sidebar using the menu control. Several sections appear only after entity setup is complete. Alerts appears when the entity has alerts. Missing navigation is therefore not always an access problem.

1.5 Search, sort and navigate lists

  1. Open the relevant section.

  2. Use its search field, where available, to find a barcode, reference or description.

  3. Select a sortable column heading to change the order.

  4. Use the page controls and page-size selector to move through the results.

  5. Select the linked barcode, reference, description or detail action to open a record.

The header also provides a search control; choose the required result from its results panel. A searchable drop-down requires you to select an actual option, rather than only type text into the field.

Export scope: Do not assume an export contains only the rows currently visible or filtered on screen. Check the downloaded workbook's period, headings and row count. The Assets export is generated separately from the list's search request.

1.6 Complete and save a form

  1. Complete fields marked with an asterisk.

  2. Select dates through the date picker and check the displayed date before continuing.

  3. Select values from drop-downs and classification selectors.

  4. Enter amounts as numbers in the unit requested; use the screen's formatting guidance.

  5. Attach evidence if required by your organisation.

  6. Select Save, Next, Complete or the action shown on that screen.

  7. Wait for processing to finish. Review the confirmation and reopen the resulting record to verify it.

If validation fails, correct the field or issue identified in the message and submit again. After a timeout, first check whether the record was saved before retrying. Submitting an entry twice can create duplicates.

Units matter: Asset and classification useful lives are commonly entered in months. A new asset change in estimate requests remaining life in days. Some edit and correction screens use different labels; do not carry a number across screens without checking its unit. See article 5.7.

1.7 Upload and download supporting documents

Where: Forms with an Upload Documents panel, and supporting-document sections on detail pages.

  1. Select Browse or drag the file into the upload area.

  2. Check the displayed file names and sizes.

  3. Remove an incorrectly selected file with its remove control before saving.

  4. Save the parent record to submit the selected documents.

  5. Reopen the detail page and use its document links or download icon to retrieve the evidence.

The common upload control displays a 20 MB per-file limit. Supporting-document forms accept Excel, PDF, Word, JPG/JPEG and PNG files; import forms accept Excel files. Use the formats allowed by the particular form. Multiple supporting documents can be selected where the form allows it.

Removing a file from a pending upload is not a documented method of deleting a document already saved against an asset or event. Contact your administrator if existing evidence needs correction.

Current limitation: Acquisition-document names on Asset Detail are rendered as placeholder links in the reviewed version. If selecting a name does nothing, request the document from the administrator. Event and project-cost document downloads have separate working handlers; do not assume all document lists behave identically.

1.8 Understand permissions and record restrictions

The application distinguishes Admin, Write, Readonly and Superadmin roles. User management and the audit trail require administrative access. Manual depreciation refresh, full DynamicVerify synchronisation and specialist take-on imports are shown to superadmins.

Available actions also depend on whether an asset is disposed, whether its acquisition year or event year is audited, whether a project is complete, and whether prerequisite records exist. Check the record state as well as your role when a button is missing. The role names are not a substitute for confirming your organisation's assigned responsibilities.

1.9 Use the public information and contact pages

Before signing in, the landing page provides product information and a contact form. Enter your name, entity name, email, phone number and message, then select Send message and check the response. Use the information link to read about Dynamic FAR and Dynamic Verify, and the Privacy Policy link to review the site's privacy information.

The public contact form is an enquiry channel, not an asset-registration form or an in-app support ticket tracker. Do not include passwords. A logged-in user visiting the landing route is redirected to entity selection or the dashboard.
