Part 08 - Financial Years

8.1 Understand the two financial-year controls

System Current Financial Year, in entity settings, selects the register's current working/reporting context. Financial Years records audited status. Changing the current year does not mark a year audited, and marking a year audited does not itself select a different working year.

The period's start and end depend on the entity's configured financial year-end. Always confirm the displayed period dates rather than assuming the financial year is January to December.

8.2 Review and mark a financial year audited

Navigation: Financial Years > Add New.

  1. Reconcile the year's assets, events, WIP and reports and resolve outstanding alerts.

  2. Obtain the organisation's authorisation to record audited status.

  3. Select Add New, then the Financial Year.

  4. Review Current Status.

  5. Select Audited from the available status choices.

  6. Select Save and wait for the operation to finish.

  7. Review the year list and confirm its period, status, modification date and user.

  8. Ask an administrator to verify the audited snapshot in Settings > Entity Details.

The implemented status transition is to Audited. There is no documented front-end reopen/un-audit workflow. Audited status affects subsequent edit and deletion options and triggers the snapshot-generation process. If saving fails, verify the status and snapshot outcome before retrying.

8.3 Download an audited snapshot

Audience: Administrators. Navigation: Settings > Entity Details > financial-year snapshot table.

  1. Locate the audited financial year.

  2. Check that a snapshot download is available.

  3. Download the workbook and verify its year and entity.

  4. Retain it with the approved reporting pack.

A snapshot is a saved output associated with audited status. A newly generated report can reflect subsequent changes and is not automatically identical to the earlier snapshot. If a snapshot is unavailable, ask support to inspect the year; do not substitute a fresh report and describe it as the original snapshot.
