Part 09 - Reports

9.1 Choose and generate a report

Navigation: Reports.

  1. Check the selected entity and system financial year.

  2. Choose Disclosure Reports, Classification Movement Summary or Data Reports.

  3. Select a report type and complete the date or financial-year fields shown.

  4. Select Export and wait for the Excel download.

  5. Inspect the workbook's entity, period, headings and totals before using it.

An empty Reports page prompts you to load assets. Reports support the financial reporting process; the exported tables still need reconciliation and any additional disclosures required for the entity's statements.

9.2 Generate disclosure reports

  1. Open Reports > Disclosure Reports.

  2. Choose the required note.

  3. Select Effective Financial Year.

  4. Select Export.

  5. Reconcile the movements and closing amounts to supporting reports.

Correction of Error Disclosure Note

Listed in the selector, but export is not implemented in the reviewed version

Do not promise a generated correction-of-error note in this version. Use approved correction working papers and available movement information, and have finance prepare the required disclosure. An error opening the disclosure generator may also require administrator review of the entity's take-on configuration.

9.3 Use the Classification Movement Summary

  1. Open Reports > Classification Movement Summary.

  2. Expand the section headed with the required financial year.

  3. Review parent/reporting classifications, opening balances, additions, disposals, transfers, depreciation, impairments, revaluations and book value.

  4. Select Export.

  5. Reconcile the classification totals to asset-level information for the same period.

This summary is useful for tracing movements between the register and disclosure schedules. Its reporting hierarchy depends on entity configuration.

The reviewed on-screen Transfers cells are blank, so a blank cell must not be read as a confirmed zero. Also, the export uses a separate current-year analysis rather than simply copying the expanded year section. Check the workbook's period and reconcile transfers through the WIP and asset records.

9.4 Select a data report

  1. Choose the report.

  2. If Report Date appears, select the intended date.

  3. Select Export and inspect the workbook.

  4. Retain the report with its period and purpose clearly identified.

The Fixed Asset Register Report does not use a date selected for another report. Change the system current financial year through the approved settings process when you need a different FAR year. The barcode mismatch report contains separate sheets for assets on Verify but not AR, and assets on AR but not Verify.

9.5 Reconcile reports before distribution

  1. Confirm all reports use the same entity and compatible dates.

  2. Reconcile opening balances and current movements to closing balances.

  3. Compare asset-level totals, classification summaries, disclosure schedules and TB-linked outputs.

  4. Investigate differences by barcode, classification, event date and import batch.

  5. Check WIP transfers for matching movements out of WIP and into completed assets.

  6. Check unresolved imports, impacted events and alerts.

  7. Retain the final reports and reconciliation working papers.

Do not add displayed signed values as if all columns were positive. Read the workbook's headings and sign conventions, particularly accumulated depreciation, accumulated impairments, disposals and reversals.
